Policies

 

Cancellation and Refund Policy

If programs are cancelled by Kanata Camps (or by provincial or local health authorities), all fees will be refunded in full to the same method of payment.

To cancel a camp registration, please email programs@kmscrhs.ca and clearly state your child’s name, the name of the camp, and the date of the camp. Cancellations cannot be done online.

Refunds will be provided up to 3 weeks
 (21 days) prior to the start date and subject to a $20 administration fee (this fee is waived if the amount is left as an account credit).

Within 3 weeks (21 days) of a program start date, refunds will not be issued other than in extraordinary circumstances, and with medical documentation.


Age Requirements and Toilet Training

You may notice that many of our camps are geared toward a very specific age group. This is because the social and emotional safety of our campers is at the heart of our program planning. We believe that summer camp is a place to be independent and make new friends. Summer camp is for experiencing new things and building lifelong friendships and we know that this is less likely to happen within a broad group of varying ages and stages of development. Careful thought has gone into setting up the age groups in advance of the summer to properly set all campers up for success.

The restrictions in the registration software have been set to account for campers whose birthday is close to the camp date, or within a couple of weeks, where appropriate. If you cannot register your child online due to an age restriction, we regret there will be no exceptions and we encourage you to select another age group for your preferred camp.


For the participants in the Kinder Camps, the minimum age is 4 years at the start of the camp.

 

If your child is going into the Kinder Camps programs, they must be fully toilet trained. Our classrooms are not equipped to handle diapers.  We discourage the use of pull ups as they are just fancy diapers in disguise.  They do not help the child to realize that they’re wet and will delay the process of being toilet trained.


Masks

Although masking is no longer mandatory in Ontario,  it is strongly recommended that our staff and participants wear masks in indoor settings, particularly in situations where physical distancing may be difficult or impossible.  Staff and participants may remove their masks for outdoor activities.  This policy continues to evolve based on guidelines posted by Ottawa Public Health. Our policy will be updated one week before camp and parents advised if there are any changes.

Nut-Free Policy

Kanata Camps is a peanut and tree nut-free environment.  There are campers who suffer from a life-threatening allergy to all peanuts and tree nuts. We ask for your cooperation in helping to keep these children safe by not sending your child to camp with any food containing peanut/tree nut products or traces of peanut/tree nuts.  No products that may contain or come into contact with peanuts/tree nuts are allowed on school property at any time 

Students who have severe allergies to such food substances are open to serious health risks when exposed to these substances in their environment or if it is shared with them. Please speak with your child/children about the seriousness of this life-threatening problem.

We realize this rule poses a challenge for you when packing your child's snacks and lunches. We wish to express our sincere appreciation for your support and understanding of this potentially fatal allergy. Your understanding and cooperation will go a long way in helping us provide for the health needs of these children.


Lunches

Lunches and snacks are provided only for the Early Years program (ages 3) children. All other students are asked to pack a lunch and snacks with respect to our Peanut/Tree Nut Free Policy. If students have forgotten their lunch and alternative arrangements have to be made for the day, please call the program supervisor or anyone on the management team and we can facilitate. 

The Camp Day

Our camps operate 8:30-4:30.  Please note that staff are not available outside of these camp hours.  For our parents convenience, participants may be dropped off or picked up as follows:

    Sign in:     8:30am – 9:00am

    Sign out:  4:00pm – 4:30pm

Please remember to complete the Ontario Covid school/child care screening tool prior to arriving.  Campers and visitors should complete this screening every morning before camp and follow the instructions provided by the screening tool.

Each day starts and ends at one of Kanata Montessori Schools two Campuses:

     The Main Campus at 355 Michael Cowpland Drive or

     The Ridge Campus at 275 Michael Cowpland Drive.

The location of your camp is specified in the registration details of the camp. The locations are less than a five minute walk apart, so if dropping children off, you can park at one location to drop one child off and walk to the other to drop the second child off.  Children cannot walk unsupervised from one location to the other unless they are 12 years or older and with a buddy. Some of the camp groups will depart and spend the majority of the day at other locations including outdoor spaces, most within walking distance. For specialized activities (rafting, etc.), campers will be transported on a school bus. If arriving to camp after 9:15 am, please visit the reception desk at each location or find a member of the management team and we will help direct you to the group. For pick up, campers will be in their designated spots by 3:45 pm. If you need to collect your camper earlier, please call ahead or speak to the staff at drop off.
